1. Agree what is changing
Begin with a conversation between the relevant principals and the owner. Establish why the building is moving, who is choosing the new arrangement and which responsibilities will change. Review the existing agreement with the appropriate advisers where needed. An introduction is not a completed transfer.
- Identify the owner and the people authorized to agree the transition.
- Define the incoming management scope and any responsibilities that remain elsewhere.
- Agree a service start, the outgoing firm's final responsibilities and the communication plan.
2. Build a property-level handoff record
Create one clear record for each apartment building. Keep the information useful to the people who will operate it and exchange private records through an appropriate secure channel. A portfolio summary is helpful, but it should not hide an individual building's open issues.
- Current unit and tenancy information, relevant agreements and authorized contacts.
- Equipment records, warranties, service schedules and existing vendor relationships.
- Open work orders, approved estimates, scheduled visits and unresolved resident issues.
- Access arrangements and building instructions transferred through a secure process.
3. Walk the building and prioritize open work
Review shared spaces and known issues with a responsible building contact. Separate urgent matters, routine work and larger improvements. Give each open item a next action and a person responsible. Confirm whether existing vendors have active commitments so the transition does not duplicate work or miss an appointment.
4. Document the referral arrangement separately
If a principal is introducing the owner, discuss commercial terms before relying on them. Record attribution, eligible fees, payment timing, duration and treatment of a later service change. Existing sales relationships and expectations about client contact also belong in that conversation. Owner choice and the management agreement remain central to the handoff.
5. Close the first review with the owner
After the agreed start, reconcile the handoff list against the records actually received. Confirm who residents and vendors should contact, review outstanding work and surface missing information. Set the next owner review around actual building priorities. This is Camino's practical planning framework; the property's agreements and circumstances determine the final transition requirements.
